The People Operations team at Pocket Prep works alongside all departments to ensure the well-being and professional growth of our Pocketeers. About the Role
Our People Operations Coordinator plays a vital role in maintaining and enhancing our company’s culture and employee well-being. This role will substantially contribute to the development and execution of People Ops processes, policies, and initiatives that support our Pocketeers. The Coordinator will work closely with various teams to ensure seamless communication and collaboration across the organization. This includes participating in hiring and onboarding, supporting employee engagement efforts, and contributing to the continuous improvement of People Operations strategies and initiatives. The right candidate will focus not just on the administrative side of People Ops, but on being a proactive problem-solver, strong communicator, and dedicated teammate committed to fostering a positive and supportive work environment.

Note: The work schedule will be determined based on the needs of the department and the availability of the team member, with a minimum of 20 hours and a maximum of 30 hours per week. Specific work hours will be discussed during the interview and onboarding process.


What You Will Do

  • Administer and coordinate team engagement and recognition
    • Administer Pocket Prep Anniversary Award Program
    • Coordinate Annual Summit planning in collaboration with our outsourced partner
    • Plan company-wide virtual events and in-person activities for Durham team
    • Coordinate company-wide volunteering program
    • Liason for American Underground (our coworking community and home) activities
  • Support with recruiting, selection, and hiring coordination
    • Provide administration support for open roles in JazzHR (applicant tracking system)
    • Conduct initial application screening (indicate/decline applications that are blank, etc)
    • Coordinate and schedule all interviews
    • Host and coordinate in-office interviews in Durham (and provide support to Seattle team, as needed)
    • Perform reference checks as needed
    • Administrative support of hiring documentation on Confluence
  • Provide benefits administration support
    • Provide employee support for health plans - medical, dental, vision - and other benefits
    • Act as a curious learner and student of best practices in benefits administration
    • Support request processes for employee leave
    • Prepare PP for all benefits compliance needs of a multistate team approaching 50+ employees
  • General Organizational and Office Assistance
    • Administer Charitable Giving program
    • Perform light office management duties for Durham Office
    • Keep key company resources (e.g., job descriptions, accountability chart) up to date
    • Work from Durham office at least one day a week (Thursdays)
    • Support activities related to HR compliance


About You
We’re looking for someone who has the following:

Required:

  • 1-3 years experience supporting a People Ops or HR function in a small (start up or scaling) business
  • Ability to apply, learn, and adapt technology-enabled solutions to support our high-tech, distributed team
  • Leads with curiosity and humility along with a team-first focus
  • Clear and consistent communicator
  • Comfortable advancing multiple priorities at once with a high degree of organization
  • Model of our core values and champion of our culture at Pocket Prep

Preferred:

  • Experience with benefits administration
  • Passion for organizing team events

And exhibits the following qualities:
